  • If you submit an Audio Recording, it may contain Personal Information belonging to third parties. Prior to sharing such recordings, you must ensure that you have obtained any necessary consents from the individuals whose Personal Information may be included.

1.3 Information We Automatically Collect or Generate When You Use the Services

  • Usage Information: When you interact with the Services, we collect information regarding your activities, including access times, timestamps, records of interactions (such as creating, sharing, editing, and deleting content), application usage data, automatic screenshots captured during meetings, engagement with our team, and transaction history.

  • Device Information: We assign a unique user identifier ("UUID") to each mobile device accessing the Services. When you use our Services, we collect device-related data, including your IP address, UUID, device identifiers, web beacons, and other technical attributes, such as device model, brand, operating system, carrier type, browser type, and whether you access the Services via desktop or mobile.

  • Cookies and Tracking Technologies: We use Cookies and similar technologies ("Cookies") to enhance user experience and functionality. For further details, please refer to the section HOW WE USE COOKIES AND SIMILAR TECHNOLOGIES below.

  • Location Information: We may infer your approximate location based on your IP address or other indicators when you access the Services.

  • Third-Party Platform Information: If you connect third-party platforms, applications, or providers (such as Google Calendar, Apple iCal, Google Contacts, or Zoom) to our Services or register via a third-party account (such as Google or Microsoft), we receive Personal Information from these providers, which may include your username, profile picture, email address, calendar data, location, contact details, and any other information you choose to share through these third-party services (“Platform Information”).

  • Information from Payment Platforms: We receive transaction-related details from our payment processor, Stripe, in connection with payments made through the Services.

1.5 Aggregated and Anonymized Data

4.5 Artificial Intelligence Service Providers
Certain product features of Alumni Hub are supported by third-party artificial intelligence service providers that process data in the backend.

4.6 Mobile Advertising Tracking Providers
Alumni Hub engages mobile advertising tracking providers to measure the effectiveness of its advertising efforts, including AppsFlyer.

4.7 Analytics Providers
Alumni Hub collaborates with analytics service providers that assist in user segmentation, mobile measurement, and understanding user behavior. These providers include Google LLC, headquartered in the United States. Alumni Hub allows integration with third-party programs, applications, or platforms, such as Google Calendar and Apple iCal. By connecting these third-party services, users authorize Alumni Hub to share designated information and data created or uploaded by the user with these external platforms.

Alumni Hub utilizes third-party payment processors, such as Stripe, for payment processing services. 3. USE OF COOKIES AND SIMILAR TECHNOLOGIES
Alumni Hub processes Personal Information for the following purposes, in accordance with applicable legal bases:

2.1. Account Setup
Alumni Hub processes your registration information, device information, and information received from third parties, including but not limited to your username and email address, for the purpose of establishing and maintaining an account enabling your access to and use of the Services. Such processing is carried out pursuant to contractual or pre-contractual obligations necessary for the provision of the Services.

2.2. Provision of the Services
Alumni Hub processes your audio recordings, usage information, and platform information to facilitate and enable your use of the Services. Additionally, communication information is processed to provide support services, such as account recovery (e.g., retrieval of a forgotten password). Such processing is undertaken in furtherance of Alumni Hub’s contractual obligations to you as a user of the Services.

2.3. Service Improvement and Monitoring
Alumni Hub processes information that is automatically collected or generated during your use of the Services, including but not limited to device-related data (such as manufacturer, model, operating system, and available storage capacity), for the purpose of analyzing, monitoring, and enhancing the functionality, performance, and user experience of the Services.
Alumni Hub utilizes proprietary artificial intelligence (AI) technology, which is trained on de-identified audio recordings. Additionally, Alumni Hub processes transcriptions that may contain Personal Information to refine and improve transcription accuracy. Manual review of specific audio recordings is conducted solely upon obtaining explicit consent from the user (e.g., when a user provides transcript quality feedback and expressly authorizes Alumni Hub and its third-party service providers to access the conversation for training and product enhancement purposes).

2.4. Communication with Users
Where a user initiates contact with Alumni Hub, the Company processes the user’s contact information for the purpose of responding to inquiries, addressing technical issues, and otherwise supporting the user's engagement with the Services. If relevant, usage information may also be processed in connection with such communications.

2.5. Marketing and Service-Related Communications
Alumni Hub processes Personal Information, including email addresses and names, to send newsletters, product updates, and other service-related communications that may be of interest to the user. In certain cases, usage information may also be processed for this purpose. Users may withdraw consent to receive such communications at any time by utilizing the unsubscribe mechanism included in each communication.

2.6. Fraud Prevention, Legal Compliance, and Enforcement of Rights
Alumni Hub processes Personal Information for the purpose of fraud detection, prevention, and remediation, as well as to safeguard the integrity of the Services. Additionally, Personal Information may be processed in order to:

  1. Monitor usage of the Services to identify fraudulent activity or conduct that compromises the security, stability, or integrity of the Services;
  2. Take appropriate measures to mitigate fraud and unauthorized activity;
  3. Defend against actual or potential legal claims, disputes, or regulatory inquiries; and
  4. Enforce the Company’s Terms of Service, policies, and other applicable agreements.

2. HOW WE USE YOUR PERSONAL INFORMATION
Alumni Hub collects and processes the following categories of Personal Information in connection with the use of its Services:
1.1 Information You Provide to Us

  • Registration Information: When you create an account on the Services, you are required to provide your name, email address, and a password. You may also voluntarily upload a profile picture. For users subscribing to Pro or Business plans, which are paid Services, our third-party payment processor, Stripe, Inc., may collect your name, billing address, and payment information. Alumni Hub does not receive or store payment information, which is processed and maintained exclusively by Stripe.

  • App Information: In the course of using the Services, you may provide audio recordings ("Audio Recordings"), automatic screenshots, and any text, images, or videos that you upload or share. Alumni Hub may capture automatic screenshots within virtual meetings to enhance meeting transcripts by extracting visual information relevant to the discussion.

  • Communication Information: When you communicate with Alumni Hub, whether via email, phone, or other methods, you provide contact details such as your phone number and email address, along with any additional information contained in your inquiry.
1. INFORMATION WE COLLECT
This Privacy Policy (the "Policy") explains how we handle your Personal Information while providing our Services (as defined below). In this Policy, "Alumni Hub," "we," or "us" refers to Alumni Hub AI Limited, a company registered in Dubai, with its registered address at Unit GA-00-SZ-L1-RT-201, Level 1 Gate Avenue - South Zone, Dubai International Financial Centre. We act as the data controller under applicable privacy laws.
If an enterprise customer (such as your employer) has engaged us under an Alumni Hub Business or enterprise service agreement and requires you to use our Services, we process your Personal Information on their behalf and in accordance with their instructions. In such cases, these enterprise customers are the data controllers, and their respective privacy policies govern the processing of your information. We recommend reviewing their policies accordingly.
For the purposes of this Policy, "Personal Information" refers to any data that identifies or can identify an individual. This includes information you provide or generate when using (a) our Ahubai meeting assistant application (the "App") and (b) our website, https://ahubai.com, along with any other affiliated Ahubai.com websites (collectively, the "Website"). Together, these constitute our "Services." By using the Services, you acknowledge and agree to the collection, processing, use, and storage of your Personal Information as described in this Policy.
